1. Information We Collect

We collect information in the following ways:

• Information you provide: When you fill out a form on our site (talk to a rep, a quote request, or a new account application), you may provide your name, email address, phone number, company name, and shipping/billing addresses.
• Order information: When you place an order, through our online ordering site, our customer portal, or the DeSantis IM app, we receive the details needed to fill it.
• Voluntary tool usage: When using interactive tools like our Ice Melt Need Meter™, you may voluntarily enter a ZIP code to receive weather-based recommendations.

We never ask for bank account details on our website.

2. Cookies & Browser Storage

Our website sets no cookies. You can browse every page, search the catalog, and send us a form without a single cookie from us. Two features do keep something, and here is the complete list:

Our online ordering site, and the videos and maps shown on some of our pages, are run by other companies (see section 4). They may set their own cookies under their own privacy policies.

3. Web Server Logs

Like virtually all websites, our web server automatically creates log files. This is standard functionality of web server software (Nginx) and includes:

• IP address of the requesting device
• Date and time of the request
• Page or resource requested
• HTTP response status code
• Referring URL (if any)
• Browser type and operating system

How we use server logs:

• Diagnosing technical issues and errors
• Protecting against malicious activity and attacks
• Understanding general traffic patterns (in aggregate, not individually)

How long we keep them: About two weeks. After that they are deleted automatically.

Customer portal: If you sign in to our customer ordering portal, it also keeps a record of sign-ins and account activity, including the IP address used, so we can spot misuse of your account.

4. Third-Party Services

Online ordering (Afflink): The Order button on our site takes you to our online ordering site, which is run for us by Afflink, our catalog partner. When you order there, Afflink receives your order and passes it to us to fill. That site belongs to Afflink, so their privacy practices apply while you are on it.

Services our pages load: Some of our pages load fonts, maps, or videos from other companies. When that happens, your browser connects to them directly, so they see your IP address and basic browser details, as with any website visit. We don't send them your name, email, or anything you type into our forms. The one exception is the ZIP code you type into the Ice Melt tool, which goes to Open-Meteo to look up the forecast.

Email: Forms on our site are delivered by email through our own mail server to the right team here.

5. Interactive Tools & Features

Ice Melt Need Meter™ and Weather Tools:

When you use our Ice Melt Need Meter or similar weather-based tools, you voluntarily enter a ZIP code. Here's how that works:

• Your browser sends your ZIP code directly to Open-Meteo, a free weather service, to retrieve forecast data
• The weather data is processed in your browser to generate recommendations
• Checking the forecast does not send your ZIP code to us, and we do not store it

If you ask us for an ice melt quote from that page, your ZIP code and a summary of the forecast you saw are sent to our sales team along with your contact details, so we can quote the right amount.

6. Email Communications

When you send us a form on our site (talk to a rep, a quote request, an ice melt quote, or a new account application), it is emailed to the right team here and kept in our email. When you give us your email address, we may use it to:

• Respond to your inquiries
• Send order confirmations and invoices
• Provide account-related notifications
• Occasionally send promotional offers (with your consent)

Your Control: If you receive a promotional email from us and don't want more, reply to it or contact us and we will stop. We honor all requests promptly. Transactional emails (order confirmations, etc.) will continue as they are necessary for service delivery.

7. Data Security

We implement multiple layers of security to protect your information:

• SSL/TLS Encryption: All data transmitted between your browser and our servers is encrypted using industry-standard protocols.
• Access Controls: Only authorized personnel can access personal data, and access is limited to what's necessary for their role.
• Regular Updates: We keep our systems patched and updated to protect against known vulnerabilities.
• Secure Hosting: Our infrastructure is hosted in secure data centers with physical and network security measures.

While we take security seriously and implement reasonable safeguards, no system is 100% secure. We cannot guarantee absolute security, but we are committed to protecting your data to the best of our ability.

8. Your Rights

You have the right to:

• Access: Request a copy of the personal data we hold about you
• Correction: Ask us to update or correct inaccurate information
• Deletion: Request that we delete your personal data (subject to legal retention requirements)
• Opt-Out: Unsubscribe from marketing communications at any time

9. Mobile Application (DeSantis IM)

DeSantis Solutions offers a mobile application, DeSantis IM, available on the Apple App Store. The app provides authorized customers with a convenient way to place orders, manage inventory counts, and view order history from their mobile device.

Data collected through the mobile app:

• Account credentials: Your email address and password are used to authenticate with our servers. Your authentication token is stored securely in the iOS Keychain on your device.
• Order information: Product selections, quantities, inventory counts, and shipping details necessary to fulfill your orders.
• Organization data: Your name, email, and organization association as provided by your account administrator.

How the mobile app handles your data:

• The app communicates directly with DeSantis Solutions servers over encrypted HTTPS connections.
• No data is shared with Apple or any third party through the app.
• The app does not contain any third-party analytics, advertising SDKs, or tracking frameworks.
• The app does not access your device's location, contacts, camera, microphone, or other personal data.
• Order and account data is stored on our servers, not locally on your device (aside from your authentication token).

Account deletion: To delete your account and all associated data, contact us using the information below. We will remove your account and personal data within 30 days of your request.
